**Job Summary**:
The Secretary to the Manager provides high-level administrative and clerical support to the Manager, ensuring the smooth functioning of daily operations. This role requires excellent organizational, communication, and multitasking skills to manage schedules, coordinate meetings, and handle confidential information with professionalism.
**Key Responsibilities**:
- **Administrative Support**:
- Manage the Manager’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations.
- **Meeting Coordination**:
- Plan and coordinate meetings, including preparing agendas and taking minutes.
- Follow up on action items and deadlines.
- **Documentation and Record-Keeping**:
- Maintain organized records and filing systems for easy retrieval of information.
- Ensure confidentiality and security of sensitive information.
- **Communication**:
- Act as the first point of contact for the Manager, screening inquiries and directing them appropriately.
- Communicate effectively with internal departments and external stakeholders on behalf of the Manager.
- **Task Management**:
- Assist in managing projects and tasks delegated by the Manager.
- Monitor deadlines and ensure timely completion of deliverables.
- **Office Support**:
- Order and manage office supplies as needed.
- Coordinate with vendors and service providers for office-related requirements.
**Qualifications and Skills**:
- **Education**: Bachelor’s degree or equivalent in Business Administration, Office Management, or related field.
- **Experience**: 2+ years of experience in an administrative or secretarial role, preferably supporting senior management.
- **Technical Skills**: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- **Communication Skills**: Excellent verbal and written communication skills in [specify language(s)].
- **Organizational Skills**: Strong ability to prioritize tasks, manage time efficiently, and maintain attention to detail.
