**Description**

As we continue to grow, we are looking for a tips, visits and activities coordinator (UAE National only) to join our growing team.

For all staff in school we share a responsibility to ensure that children are safe and properly supervised at all times. Core purposes:

- Responsible for the co-ordination of school trips and activities to ensure that they are organised in line with school policy
- To support the day to day running of the school in a range of roles

Key duties include:

- To ensure children are safe and well cared for at all times
- Follow the Aquila Ways about trips to ensure that the process is properly followed
- Plan and organise engaging trips for pupils, in coordination with the relevant teachers.
- Ensure all internal and external (regulator) approvals are in place before a trip is announced
- Oversee all aspects of trips including logistics, meals, buses, itineraries and day-of trip send off and returns.
- Collect pupil’s trip details, the trips register and medical needs
- Collect feedback from pupils about trips to inform future trips planning;
- Communicate with families of pupils as necessary about trips-related questions, concerns and issues;
- Make bookings with travel agents and venues and arrange transport
- Send out communication to families as required and respond to queries
- Track and collate parental payments and replies, and follow up as necessary
- Liaise with finance staff regarding payment of suppliers
- Monitor income and expenditure to ensure each trip remains within budget
- Review risk assessments with the health and safety coordinator and trip leader
- Keep relevant staff informed of trip details
- Keep up to date with school trip best practice to ensure health and safety and safeguarding requirements are met
- Assist with organising external school activities
- Maintain confidentiality at all times
- Assisting with school cover duties and other work as needed to support the smooth day to day running of the school - we all muck in
- In addition, all staff are required to carry out any tasks required by the school or the regional office to facilitate the smooth day to day running of the school_

To be line managed by the head of secondary

Holidays
- as per school calendar (term time only). Attendance is required on staff training days and when preparing for exams

Hours of work: 4 days a week - 7:25am to 4:15pm Tuesday to Thursday and from 7:25am to 12:00noon on Friday’s. Different working hours may be needed if a trip departs earlier or gets back after the school day
