**Job Title**: Administrative Executive

**Location**: Dubai
**Employment Type**: Full-Time (10am to 6pm)

**About Us**:
We are a leading logistics and supply chain company who is seeking an organized and proactive Administrative Executive to support our administrative functions and streamline office operations. This role will be crucial in ensuring the efficiency of daily office operations and providing essential support across departments.

**Responsibilities**:

- Manage and maintain office supplies inventory, ensuring all items are stocked and available as needed
- Oversee general office operations and ensure a well-organized workspace for all team members
- Serve as the main point of contact for office vendors, suppliers, and service providers, handling contracts and negotiations when required
- Coordinate and organize meetings, conference calls, and appointments, including preparing meeting materials and agendas
- Assist with travel arrangements, accommodations, and itineraries for team members when necessary
- Prepare, review, and maintain essential documentation, such as reports, invoices, and records, while ensuring data accuracy and confidentiality
- Support HR in scheduling interviews, onboarding new hires, and managing employee records as needed
- Provide exceptional customer service to clients and visitors, addressing inquiries and directing them to the appropriate person or department
- Assist with basic bookkeeping tasks, such as tracking expenses, processing invoices, and handling reimbursements
- Implement and uphold office policies, procedures, and safety regulations to maintain an efficient and compliant work environment

**Qualifications**:

- Bachelor’s degree in Business Administration, Management, or a related field
- Proven experience of at least 2 years as an Administrative Executive, Administrative Assistant, or a similar role from home country. (UAE based experience is preferred),
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software
- Excellent organizational, time-management, and multitasking skills
- Strong communication skills and attention to detail
- Ability to handle confidential information with integrity and professionalism
- Problem-solving skills and adaptability to manage tasks in a fast-paced environment

**Preferred Skills**:

- Familiarity with HR processes and basic bookkeeping
- Experience with office equipment and IT support troubleshooting
