**Position**: Spanish-Speaking Receptionist

**Job Summary**:The Spanish-Speaking Receptionist plays a vital role in creating a positive first impression for visitors, clients, and employees. This role involves greeting and assisting guests, managing phone calls, and providing administrative support to the office. Fluency in Spanish is essential for effective communication with Spanish-speaking visitors and clients.

**Key Responsibilities**:
Greet visitors and guests with a warm and welcoming demeanor.

Answer incoming phone calls, direct calls to appropriate personnel, and take messages as needed.

Provide information about the organization, products, and services to visitors and callers.

Assist in scheduling appointments and maintaining a tidy reception area.

Manage incoming and outgoing mail, packages, and deliveries.

Maintain a neat and organized appearance of the reception area.

Coordinate with other departments to ensure smooth visitor experiences.

Communicate effectively in both English and Spanish to assist Spanish-speaking visitors and clients.

Perform basic administrative tasks, including data entry, filing, and photocopying.

Assist in booking meeting rooms and arranging catering for meetings when required.

Maintain office supplies inventory and reorder as necessary.

Provide support to office managers and executives as needed.

Handle inquiries and resolve issues in a professional and courteous manner.

Follow company procedures and policies for security and visitor management.

Keep track of staff members' attendance and inform respective departments.

Handle visitor registrations and access control.

Assist in coordinating office events and activities.

**Qualifications and Skills**:

- High school diploma or equivalent; some college education preferred.
- Proficiency in both English and Spanish languages.
- Excellent verbal and written communication skills in English and Spanish.
- Customer service-oriented attitude with a friendly and approachable demeanor.
- Strong organizational and multitasking abilities.
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and professionalism.
- Strong attention to detail and problem-solving skills.
- Previous experience in a receptionist or customer service role is a plus.

**Working Conditions**:

- The Spanish-Speaking Receptionist typically works in a well-lit and comfortable office environment.
- Interaction with visitors, clients, and employees throughout the day.
- May involve extended periods of sitting and computer use.
- Occasionally required to stand, walk, and lift lightweight objects.
