Key Responsibilities:
- Answering phone calls, taking messages and directing them to the appropriate personnel
- Managing calendars and scheduling appointments and meetings
- Arranging and coordinating travel plans, itineraries, and expenses
- Organizing and maintaining files and databases, both physical and electronic
- Drafting and typing correspondence, reports, and other documents
- Coordinating and facilitating meetings, including taking minutes and distributing meeting agendas and materials
- Managing office supplies and inventory, and ordering supplies as needed
- Handling confidential information with utmost discretion
- Providing general administrative support, such as photocopying, faxing, and scanning documents
- Assisting with other ad-hoc tasks as needed
Qualifications and Skills:
- High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred
- Proven experience as a secretary or administrative assistant
- Excellent organizational and time-management skills
- Proficient in Microsoft Office and other relevant software programs
- Strong verbal and written communication skills
- Ability to handle multiple tasks simultaneously with attention to detail
- Discretion and trustworthiness when handling confidential information
- Professional demeanor and appearance
