Our client is the world's largest humanitarian network and Non-Profit Organization. They are hiring a staff member for a fixed 5-month contract in the position of Logistics and Warehouse Officer working under the Senior Officer, Logistics, Procurement, and Supply Chain.
Carry out general logistics and warehousing activities pertaining to the humanitarian supply chain function, which include planning, sourcing, delivery, and support implementation. The incumbent is responsible to ensure that information related to the movement of goods and vehicles is disseminated timely and regularly to all stakeholders and ensure best value for money service delivery objectives are achieved. The post holder is to ensure compliance with the client's policies and procedures. Key areas of influence and key internal relationships include:
Be accountable to ensure the availability of all goods and services (right quality, right price, and right time) in close coordination with the global and regional teams. As well as coordination activity, this role will also take responsibility for the management of the warehouses in Dubai and Las Palmas. This role carries accountability for ensuring compliance with supply chain standards. As such, it requires excellent team working, project management skills, communication skills, and technical expertise. Full accountability and high autonomy in the execution of the role. Key Accountabilities
To establish/maintain oriented customer service working relations with all service users both internal and external. Also, to ensure that the Global Fleet and Logistics Hub delivers services that understands and meet the needs of the Federation, partners, and services users, balancing service quality against service cost/commercial implications
To produce accurate and timely estimates for dispatch and procurement of fleet services and relief items after understanding the specifications and requests of service users and in line with the procurement manual and Standard Operating Procedures (SOPs). Then liaise and coordinate with the relevant requesters regarding the delivery of consignments and keep all parties informed of any changes in a timely manner. Also, to perform service quality analysis to users on regular basis: timely delivery, the accuracy of information provided, customer communication
To overview/follow up on the transportation, customs clearance, and other formalities for in and outbound consignments of Global Logistics Hub, Dubai (vehicles and relief items included) ensuring the timely and accurate completion of all requests in line with procedures and SOPs and keep all parties informed of any change in a timely manner
To manage all warehouse related activities by following standard warehouse practices and record keeping to full audit trail standards for Dubai and Las Palmas warehouses. This includes amongst others: managing the security and safety; ensuring the rotation of stocks; maintaining accurate stock control and records (in LogiC warehouse management system, in SharePoint, and in physical files); organizing quarterly inventories; managing local labor; handling and forecasting needs of consumables and equipment (forklift, high reach, etc); liaising with local customs officials to ensure efficient clearance and respect of Dubai customs regulations; providing support to other teams on warehouse matters
To handle all inbounds shipments to Dubai and Las Palmas warehouses: by communicating with forwarders and shipping agents; preparing the warehouse work order and the warehouses physically; by organizing the necessary local labour; by ensuring all necessary documentation is received and custom clearance done on time; by storing goods in a safe manner; by entering the information onto the warehouse management system LogiC, in SharePoint and follow-up files; by organizing quality control of the goods; and by providing goods received notes to the procurement department
To handle all outbound shipments from Dubai and Las Palmas warehouses: by communicating with forwarders and shipping agents; preparing the load plan and warehouse work order; by preparing the physical stock and required local labour; ensuring the right qualitative quantities are dispatched; by raising all necessary documentation as per the shipping instructions; by producing timely and accurate customs documentation; by updating the information onto the warehouse management system LogIC, SharePoint and follow-up files; by informing the requester of the dispatch of stocks; and by closing the file with the received goods received notes from the requester
Organize and supervise all airlift operations from the Dubai warehouse
To provide technical expertise and advice through the LPSCM global network to enable the delivery of the right quality and cost-efficient procurement and supply chain service provision that meets the requirements of the Federation, partners, and customers
To establish KPIs and reports for the Global Logistic
