About the Department
The Administration Department supervises new writers' contracts signing and assisting catalogue of songs to be registered in corporate copyright systems and Society databases. Oversees documentation exchange and relations with Clients.
About the Role
The Copyright & Royalty Analyst will assist in managing and maintaining all aspects of copyright and licensing administration. This role will focus on ensuring accurate registrations, tracking agreements, processing royalties, and supporting the Admin Manager in liaising with stakeholders and global teams. A strong understanding of royalty processing and the ability to handle sensitive information are crucial for success in this position.
What You'll Do:
Copyright Administration:
Copyright Reporting & Registrations:
Manage all aspects of copyright reporting and ensure timely registration of copyrights with local societies and corporate systems.
Maintain a timely and efficient workflow in catalogue registration processes and follow up on acknowledgments.
Notify collection societies of changes, such as registrations, new agreements, and cessions.
Contract Administration:
Maintain detailed registers for songwriter and sub-publishing agreements, including terms, options, advances, and expiry dates, ensuring that all internal stakeholders are aware of such information.
Secure and organize signed contracts in designated storage systems.
Data Entry & System Management:
Input and manage data in corporate systems (e.g., TEMPO, SCORE) and ensure its accuracy.
Track and manage schedules for deal options, expiries, and advance due dates.
Royalty Processing:
Check client royalty statements for accuracy before distribution and identify discrepancies or errors.
Conduct spot checks on songs or earnings lines to ensure alignment with market expectations and collect data.
Maintain communication with collection societies as needed to ensure royalty processing accuracy.
Prepare and reconcile incoming royalty statements for processing (Nashville).
Administrative Support:
Liaise with writers, clients, and third-party signings to address administrative queries.
Support the creation of individual client accounts and handle day-to-day administrative tasks.
Licensing Administration:
Clearance & Registration:
Assist in the clearance of songs with local and affiliate signings.
Administer licensing contracts in compliance with local society rules.
Documentation & Communication:
Maintain records of issued licensing agreements and track cue-sheet circulation to licensees.
Notify collection societies during licensing processes, ensuring registrations are completed accurately.
Reporting & Tracking:
Track and monitor licensing agreements, ensuring renewals, advances, and expirations are managed effectively.
Who You Are:
Technical proficiency, such as:
Excellent proficiency in Microsoft Office Suite, particularly Excel.
Aptitude for technology and systems like TEMPO, SCORE, or similar tools.
Skills:
Strong analytical skills, particularly in handling data.
Mathematical skills.
Ability to adapt to and understand internal processes and changes.
Deep understanding of royalty processing and copyright workflows.
Effective organizational and time-management skills.
Strong attention to detail and ability to maintain confidentiality when handling sensitive information.
