Job Overview:

We are seeking a dynamic, organized, and customer-focused individual to join our team in a hybrid role combining administrative support, collections, and customer service. The ideal candidate will be responsible for managing office operations, ensuring timely collection of outstanding payments, and delivering excellent customer service to maintain positive client relationships.

Key Responsibilities:

Administrative Assistant Duties:

  • Provide general administrative and clerical support (filing, data entry, scanning, etc.)
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Maintain and update records, documents, and databases
  • Handle correspondence via email, phone, and mail
  • Assist with internal communication and document preparation (reports, memos, etc.)

Collection Officer Duties:

  • Monitor accounts to identify outstanding debts
  • Follow up with clients on overdue invoices and implement payment plans
  • Negotiate repayment terms professionally and empathetically
  • Maintain accurate records of collection activities and communications
  • Prepare weekly/monthly reports on collection status and escalate accounts when necessary

Customer Service Duties:

  • Respond promptly and professionally to customer inquiries via phone, email, or in-person
  • Resolve product or service issues by clarifying customer concerns and offering appropriate solutions
  • Follow up to ensure resolution and satisfaction
  • Provide information about products, services, policies, and procedures
  • Maintain a positive, empathetic, and professional attitude toward customers at all times

Qualifications & Skills:

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • Proven experience in administration, collections, or customer service (minimum 1-2 years)
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize workload effectively
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with accounting or CRM software is a plus
  • Problem-solving mindset and ability to remain calm under pressure

Working Conditions:

  • Office-based
  • Regular office hours, with flexibility during peak periods
  • Interaction with customers and internal teams daily
