From managing listings to streamlining internal systems, you'll be at the center of our stock operations, helping us source and move the best cars in the market.

Job Purpose:

To support the Purchasing team by managing accurate and timely documentation, system records, and listing updates for vehicles acquired by Approved Automotive. This role ensures the consistency and integrity of information from purchase through to sale readiness.

Key Responsibilities:

  1. Website Listings: Maintain accurate and up-to-date listings of vehicles for sale on the Approved Automotive website.
  2. Third-Party Platform Listings: Upload and update vehicle details, pricing, and media on third-party sales platforms to ensure visibility and lead generation.
  3. Showroom Pricing Board: Prepare and regularly update the showroom pricing board with current and accurate information.
  4. ICE Asset Record Management: Maintain the ICE system with accurate records of each asset, including uploading purchase documentation and related vehicle files.
  5. Cost Recording: Maintain and update associated costs within ICE for every vehicle marked For Sale, ensuring visibility of true cost structure.
  6. Check all new payment requests for vehicle purchases to ensure completeness and accuracy before passing them to Finance for processing.
  7. Manage the process of returning payments to suppliers for vehicles that have been sold, ensuring proper documentation and timely execution.

Additional Duties:

  1. Coordinate with the purchasing and finance teams for accurate and timely transaction records.
  2. Assist with monthly stock audits and cost reviews.
  3. Support documentation flow for trade and consignment vehicles when required.
  4. Maintain professional communication with suppliers and third-party vendors.

Requirements:

  1. Must have previous experience in an automotive showroom administration or purchasing role.
  2. Experience of using vehicle listing platforms, such as Dubizzle & Dubicars.
  3. Strong organizational and data management skills.
  4. High attention to detail and accuracy.
  5. Experience working with automotive CRM or DMS systems (ICE preferred).
  6. Excellent communication and coordination abilities.
  7. Proficiency in Microsoft Office (especially Excel and Outlook).
