Job Purpose: The Assistant Manager – Rental Operations is responsible for overseeing the daily operations of the centralized branch, ensuring efficient fleet management, exceptional customer service, and adherence to company policies. The role focuses on optimizing vehicle utilization, supervising staff, and enhancing operational performance to drive revenue growth and customer satisfaction. Additionally, the ideal candidate will monitor key performance metrics, resolve customer inquiries, and implement strategies for continuous improvement.

Rental Operations:

  • Oversee the daily operations of the Centralized branch, including vehicle availability, reservations, and fleet management.
  • Ensure timely maintenance, cleaning, and inspection of vehicles to maintain quality and safety standards through workshop.
  • Monitor and manage the fleet to ensure optimum utilization and minimal downtime.
  • Constantly monitor the representatives (drivers) and conduct regular meetings to ensure that the jobs are executed on time and address issues related to delivery and collection.
  • Conduct review meetings with the delivery team to assess performance and address key challenges.
  • Ensure all key issues raised by business partners are addressed promptly.

Customer Service:

  • Handle customer inquiries, complaints, and disputes, ensuring prompt and satisfactory resolutions.
  • Provide exceptional customer service by understanding and addressing customer needs effectively.
  • Train staff to uphold high customer service standards.

Team Supervision:

  • Assist in recruiting, training, and mentoring employees, including customer service representatives, drivers, and maintenance staff.
  • Monitor staff performance and provide constructive feedback for improvement.
  • Schedule shifts and allocate tasks to ensure smooth branch operations.

Supporting Sales and Revenue Growth:

  • Support the branch manager in achieving sales targets and implementing promotional strategies.
  • Identify opportunities to upsell additional services, such as insurance, GPS rentals, or loyalty programs.
  • Monitor key performance indicators (KPIs) to track branch performance and suggest improvements.

Inventory and Cost Management:

  • Manage the fleet inventory, ensuring vehicles are in excellent condition and ready for rental.
  • Control costs by monitoring expenses related to fuel, repairs, and staffing.
  • Track and report any vehicle damage or incidents promptly.

Compliance and Documentation:

  • Ensure all rental agreements, vehicle documents, and insurance records are accurately maintained.
  • Comply with company policies, local laws, and safety regulations.
  • Conduct audits to ensure adherence to operational and financial procedures.

Reporting:

  • Submit reports to department head for Fleet Induction, De-fleeting, Utilization, and Customer feedback every month.

Qualifications:

  • Bachelor's degree with rich experience in Rental Car Operations (minimum 3-4 years' experience)
  • UAE industry/region experience preferred.
  • Strong written, verbal, and communication skills.
  • Good interpersonal abilities, ability to get along with diverse personalities & should be digital savvy.
