Job Brief
We are seeking to hire a Sales Gallery Coordinator for one of our top-end clients in Dubai (a Real Estate Sales Gallery). You will be responsible for ensuring a welcoming and pristine environment in the sales gallery. This role requires a blend of administrative, customer service, and sales support skills. The Sales Gallery Coordinator is expected to work closely with the sales team, assist potential clients, and help facilitate smooth gallery operations to support sales goals. To be considered for this position, candidates should have relevant experience in the hospitality industry.

Skills Required:
  • Hospitality or front of house background. Very well presented. Strong customer service experience.
Key Responsibilities:
  1. Gallery Operations:

    • Manage the daily operations of the sales gallery ensuring that the space is clean, organized, and fully stocked with necessary materials.
    • Coordinate the setup and maintenance of displays ensuring they are visually appealing and aligned with brand standards.
    • Ensure that all promotional materials, brochures, and product information are up-to-date and readily available for visitors.
  2. Customer Service:

    • Greet visitors to the gallery and provide them with information about the products, services, and promotions.
    • Assist customers with inquiries, provide tours, and offer personalized recommendations based on their needs and preferences.
    • Handle customer complaints or issues professionally and promptly, ensuring a positive customer experience.
  3. Sales Support:

    • Support the sales team by providing them with necessary materials and information for client presentations or meetings.
    • Assist in the preparation and coordination of sales events, exhibitions, and special promotions held at the gallery.
    • Track and report sales activity, assisting with the preparation of sales reports and follow-ups with clients.
  4. Administrative Duties:

    • Maintain accurate records of gallery visitors, sales inquiries, and customer interactions.
    • Schedule and coordinate appointments or meetings for the sales team and clients.
    • Assist in preparing and processing sales documentation, contracts, or other relevant paperwork.
  5. Event Coordination:

    • Organize and coordinate events, product launches, or special exhibitions within the gallery space.
    • Ensure the timely execution of all events including logistics, guest lists, and event promotion.
    • Collaborate with other teams (marketing, sales, and operations) to ensure smooth event operations.
  6. Collaboration and Communication:

    • Communicate effectively with internal teams including sales, marketing, and operations to align efforts and achieve sales targets.
    • Provide regular updates on customer feedback, product interest, and gallery performance to help inform sales strategies.
    • Maintain strong relationships with customers, following up on leads and maintaining communication to drive sales.
  7. Inventory Management:

    • Assist with inventory management of sales materials, products, and promotional items.
    • Ensure that stock levels are monitored and orders are placed in a timely manner to avoid shortages.
Qualifications:
  • Education:

    • A high school diploma or equivalent; a degree in business, marketing, or a related field is a plus.
  • Experience:

    • Must have 2 to 3 years experience in a sales or customer service role, preferably in a retail or gallery setting.
    • Experience in sales support, administrative tasks, or event coordination is highly desirable.
  • Skills:

    • Strong customer service skills with the ability to interact with clients in a friendly and professional manner.
    • Excellent communication and interpersonal skills.
    • Organizational skills with the ability to multitask and prioritize effectively.
    • Proficiency in Microsoft Office and other administrative software.
    • Knowledge of inventory management and sales tracking tools is a plus.
