JMW Digital is a results-driven digital marketing agency specialising in fashion and footwear-focused eCommerce marketing across the UK and UAE. With a structured approach to scaling businesses through the JMW Blueprint, we work closely with brands to provide tailored marketing, influencer, and performance-driven strategies.
Additionally, we operate NE2DXB, a relocation service helping UK entrepreneurs set up businesses in Dubai, offering company formation, visa assistance, and lifestyle support and Fabrik, a combination of both JMW Digital and NE2DXB helping brands enter the UAE market.
As we grow, we're looking for a highly organised Executive Administrative Assistant to support our leadership team with task management, administrative operations, sales support, and bookkeeping. This role is crucial in ensuring smooth day-to-day operations across both regions.
Key ResponsibilitiesAdministrative & Executive Support- Organise tasks, deadlines, and project workflows for the leadership team across JMW Digital and NE2DXB.
- Assist in managing daily schedules, appointments, and travel arrangements.
- Act as the first point of contact for administrative queries and internal coordination.
- Maintain structured documentation and digital filing systems across Google Workspace, Slack, and HubSpot.
- Provide ad-hoc executive support as required.
- Assist with proposal writing and deck preparation for client pitches and internal projects.
- Work closely with the leadership team to ensure all client-facing documents are clear, compelling, and tailored to business needs.
- Support in preparing pricing estimates, scopes, and project timelines.
- Maintain and update proposal templates, case studies, and sales materials.
- Manage financial records using Xero & Wafeq, ensuring accurate data entry and reporting.
- Reconcile accounts, generate invoices, and track client payments across UK and UAE operations.
- Assist in budget tracking and financial reporting to ensure profitability per client.
- Liaise with accountants and finance teams for tax and compliance matters.
- Input, update, and maintain client data, project details, and financial records in HubSpot and other internal systems.
- Organise and manage CRM records to support client communications and sales tracking.
- Compile reports and insights based on business performance metrics.
- Proven experience in an executive administrative, sales support, or operations role.
- Strong organisational skills with the ability to manage multiple projects and deadlines.
- Excellent written and verbal communication skills, with experience in proposal writing and presentation preparation.
- Proficiency in Google Workspace, HubSpot, Slack, and project management tools.
- Bookkeeping experience using Xero & Wafeq (or similar accounting software).
- Ability to work in a fast-paced environment across multiple time zones (UK & UAE).
- Problem-solving mindset with the ability to anticipate challenges and find solutions proactively.
- Experience working in a digital marketing, eCommerce, or business consultancy environment.
- Familiarity with UAE and UK business operations, including company formation and financial compliance.
- Knowledge of sales pipeline management and CRM automation in HubSpot.
- Prior experience supporting leadership teams in an agency setting.
