Overview

The M365 Adoption Lead – Change Management will champion the successful implementation of Microsoft 365 tools across a large, complex organization, aligning business needs, IT capabilities, and communication plans to drive user engagement, collaboration, and measurable productivity gains.

Key Responsibilities

  • Evaluate current Microsoft 365 usage and maturity across the organization to identify adoption gaps, improvement opportunities, and success metrics.
  • Develop and manage M365 adoption strategies that support business transformation, user engagement, collaboration, and measurable productivity outcomes.
  • Oversee adoption of Microsoft 365 applications including Teams, SharePoint, OneDrive, Power Platform, Viva, Exchange, Intune, Identity and Access Management, and Security and Compliance services.
  • Define project KPIs, adoption metrics, success measures, and reporting methods before, during, and after adoption initiatives.
  • Design and deliver communication plans, awareness campaigns, training sessions, workshops, user guides, and support materials for M365 users.
  • Build, guide, and manage a network of M365 champions who can promote best practices and support adoption across business units.
  • Work with different departments to understand business needs and recommend practical M365 solutions aligned with user personas and operational workflows.
  • Analyze user feedback, usage reports, adoption dashboards, and engagement trends to identify improvement areas.
  • Measure and report on the adoption, impact, business value, and outcomes of M365 tools and services.
  • Identify risks, resistance points, adoption barriers, technical issues, and change‑management challenges, then escalated or resolve them as needed.
  • Collaborate with IT, business, project, security, and support teams to align M365 adoption activities with wider organizational initiatives.
  • Provide troubleshooting support for M365 application issues by coordinating with IT support teams and technical specialists.
  • Lead cross‑functional teams in the evaluation, selection, implementation, and integration of new M365 applications or capabilities.
  • Monitor licensing agreements, software subscriptions, usage patterns, and cost‑optimization opportunities for M365 tools.
  • Maintain documentation, knowledge repositories, adoption resources, FAQs, training content, and support references for M365 users.
  • Stay updated with Microsoft 365 trends, new features, emerging technologies, and Modern Workplace best practices.
  • Foster a culture of collaboration, digital teamwork, knowledge‑sharing, and effective use of Microsoft 365 platforms across the organization.

Ideal Profile

  • Bachelor's degree in Business, Information Technology, Computer Science, Digital Workplace, Change Management, or a related field.
  • 3‑5 years of experience leading Microsoft 365 adoption, digital workplace transformation, change management, or user enablement projects.
  • Experience working in a large and complex organization with multiple stakeholders, business units, and user groups.
  • Strong practical knowledge of Microsoft 365 tools and services, including Teams, SharePoint, OneDrive, Power Platform, Viva, Exchange, Intune, Identity and Access Management, and Security and Compliance.
  • Experience designing, deploying, supporting, or promoting Microsoft Modern Workplace solutions.
  • Strong understanding of change‑management methodologies such as Prosci ADKAR, Kotter, Bridges, or similar frameworks.
  • Ability to design communication, training, engagement, and support strategies for different audiences and channels.
  • Strong analytical ability with experience tracking usage data, adoption metrics, feedback patterns, KPIs, and business impact.
  • Excellent presentation, facilitation, communication, and stakeholder management skills.
  • Ability to build trust, influence users, and engage leaders, champions, IT teams, and business stakeholders.
  • Creative and agile mindset with the ability to adapt adoption plans to changing business needs.
  • Good understanding of licensing, software subscriptions, user enablement, digital collaboration, and productivity improvement.
  • Certifications in Microsoft 365, change management, project management, or Modern Workplace technologies will be an advantage.
