Key Relationships (Internal and External):Head of Business Operations, Operations Manager, PA to the Principal, Finance Administrator, HR, IT Department, Admissions Manager, Receptionist. (facilities, procurement, transportation, housing, health & safety)Key Accountabilities:Staff managementDevelop and maintain effective partnerships and engage in positive communication with all staff, senior leaders and the Principal.Provide leadership for the facilities team, cleaners, security team, and any other contracted staff.Adhere to the school's policies and procedures and ensure all supervised staff does as well.Financial SupportGenerate purchase orders in coordination with BC and Principals.Serve as the lead in receiving delivery of orders and allocating them to the concerned person.Supports the Operations Manager in providing operational support to one or more business units/service lines.Provides transactional support and guidance to business units/service lines on policies, procedures etc.Supports organizational change initiatives including administration of activities relating to Operations ProjectsEnsures departmental compliance with regulatory requirementsFacility Management/ Health and safetyEnsure that the school facilities are properly maintained, and cleaned.Coordinate and manage contractors (Buses, canteen, third party contractors).Coordinate tasks and follow up on tasks pending to be closed promptly.Monthly assets verification to be completed and submitted.All required licenses per Abu Dhabi regulations will be renewed, issued, and documented. Highlighting any concerns to the OM.Daily inspections to ensure the health and safety of the school. Report or rectify issues that may present a health and safety concern.Assist in timely fire drills. Confirm all fire escapes are kept free from obstructions to maintain a safe exit from the buildings. Be fully aware of the school's fire drill policy and support its compliance.Be familiar with and adhere to the Taaleem Health and Safety Policy as well as the school policies.Monitor daily the security personnel at the school ensuring all procedures are adhered to and accurate time-keeping of their schedules.As lead health and safety officer for the school, ensuring that all aspects of the school meetexceed all related requirements stated by Taaleem, government authorities, and the school. Any concerns and/or improvements should be immediately reported to the Principal, Operations ManagerEnsure the contracted cleaning company immediately and properly addresses any 'emergency cleaning duties' which may occur during the school day: e.g. clearing up 'hazardous substances such as split chemicals, broken glass, vomit, blood, etc.Ensure the school's pool areas (if applicable) are secured when a guard or teaching staff are not present and all other pool safety procedures are adhered to at all times.Report any breaches or improvement needs to the Principal and Head ofProcurement and Operational Support immediately.Organize the setup and take down of equipment required by the school for activities.Ensure compliance with Taaleem Policy and Procedure, and that other employee are trained in and familiar with relevant policies and procedures including finance, procurement and health and safety.TransportationIn conjunction with the school security team, oversee the safe drop-off and collection of students. Report any incidents and improvements to the Principal and the Office Transportation Controller immediately.Complete a bus inspection once per term and sign off per checklist. Notify the Principal and the Office Transportation Controller of any abnormalities and take corrective action immediately.Provide reports and fines from government inspections DOT and update the bus checklist with any new requests resulting from an inspection.Communicate and address any issues with the bus company as necessary to ensure smooth service.Staff AccommodationLiaise with the school's Housing Operations officer and Operations Manager to ensure the preparation, maintenance (if applicable), and departure of staff in Taaleem Provided Accommodation (TPA) meets all requirements. The primary focus is on TPAssupport of preparing units, inspecting units and getting teacher's signature on theinspection checklistcleaning of units at end of tenancies, the changeover of keyssubmit the final inspection report to the Housing Operations Officer with all the payment receipts against utilities which impacts Full and Final Settlementsensuring repairs are adequately performed.Familiarize and adhere to the Housing Procedures Document issued by Procurement and Operational Support on all aspects of TPA and the specific roles and timings pertaining to schools.Key Performance IndicatorsFines avoided from regulators/authorities for non-compliance in any operational aspect of the schoolProtocols followed for all health and safety aspects (fire alarm, crisis reporting, bus transportation)Buildings and grounds cleaned and maintained to a high standardRoutine works conducted in a timely manner.
