We are looking to hire aSenior Events Specialist who will beresponsible for planning, managing, and executing impactful eventsand activations for our client based in the UnitedArab Emirates, one of the largest organizations inthe region.

This position isa contract role with an initial duration of 12months and isrenewable.

The role sits within the EventsDepartment and reports directly to theHead of EventsManagement.

Weare looking for a passionate Senior EventsSpecialist who will lead the delivery ofhigh-quality, lead-generating commercial events and ensurealignment with organizational objectives. The ideal candidate willalso possess the skills and experience necessary to manageexperiential installations and activations tailored to relatedthemes and strategic goals.

KeyResponsibilities

  • Plan,execute, and manage events, exhibitions, and show-callingactivities, ensuring successful delivery and alignment withorganizational objectives.
  • Lead the creation ofexperiential installations and activations to engage targetaudiences and achieve thematic goals.
  • Developand implement comprehensive event strategies, calendars, and riskmanagement plans.
  • Follow governance procedures,oversee the invitation process, and prepare detailed post-eventreports.
  • Identify opportunities to maximizelead generation and commercial success through innovative eventapproaches.
  • Coordinate with stakeholders,vendors, and teams to ensure seamless eventexecution.
  • Negotiate with suppliers andcontractors to secure favorable terms and stay withinbudget.

Knowledge, Skills &Experience

  • Provenexperience in events, exhibitions, and show-calling, preferablywithin government or multinationalorganizations.
  • Demonstrated ability to plan andexecute commercial events aimed at generating leads and achievingstrategic objectives.
  • Expertise in managingexperiential installations andactivations.
  • Strong planning, risk management,and strategic thinking skills.
  • Excellentorganizational abilities for pre-planning, governance compliance,and reporting.
  • Proficiency in negotiation andvendor management.
Desired candidate profile

1. Event Planning andCoordination

  • Expertisein conceptualizing, planning, and organizing events of varioussizes, from corporate conferences to large publicevents.
  • Proficiency in managing all aspects ofevent logistics, including venue selection, catering,accommodations, transportation, andregistration.

2.ProjectManagement

  • Ability tomanage multiple events and projects simultaneously, ensuring thatall tasks are completed on time and withinbudget.
  • Skilled in creating detailed projecttimelines, budgets, and action plans, and ensuring the team stayson track.
  • Managing event timelines, milestones,and deadlines effectively.

3.VendorManagement

  • Ability tosource, negotiate, and manage relationships with suppliers,vendors, and venues.
  • Ensuring high-qualityservice from external partners (e.g., catering, audio-visual,décor, security).
  • Overseeingcontracts and ensuring vendors meet theirobligations.

4.Budgeting and FinancialManagement

  • Expertise increating and managing event budgets, ensuring costs are kept withinagreed-upon limits.
  • Identifying cost-savingopportunities while maintaining the quality and effectiveness ofthe event.
  • Tracking and managing eventexpenses, invoices, and payments.

5.Team Leadership andCollaboration

  • Leadingand mentoring a team of event coordinators or junior specialists,providing guidance and support to ensure the event'ssuccess.
  • Effective collaboration with internalteams (marketing, sales, design, IT, etc.) to ensure all aspects ofthe event are coordinated.
  • Managingcross-functional teams and external stakeholders to execute eventdetails flawlessly.

6.Client Relations and CustomerService

  • Building andmaintaining strong relationships with clients, ensuring their needsare met and exceeding expectations.
  • Acting asthe main point of contact for clients, providing regular updatesand ensuring they are informed throughout the event planningprocess.
  • Ensuring that client feedback isincorporated and that any issues are promptlyresolved.

7. MarketingandPromotion

  • Developingevent marketing strategies, including email campaigns, social mediapromotions, and partnerships.
  • Working with themarketing team to create event branding, signage, and promotionalmaterials.
  • Promoting events to targetaudiences, utilizing both digital and traditional marketingmethods.

8. LogisticsManagement

  • Overseeingall logistical aspects of events, including transportation, set-up,equipment, and technical needs.
  • Ensuring smoothcoordination on-site to address any last-minute issues that mayarise.
  • Ensuring proper timing for eventprograms and managing any changes or adjustments during theevent.

9. CommunicationSkills

  • Strong verbaland written communication skills, essential for negotiating withvendors, coordinating with teams, and presenting event ideas toclients or senior management.
  • Clearcommunication with attendees, staff, and vendors to ensure everyoneis aligned and informed.
  • Public speaking andpresenting event updates or information whenrequired.
