Responsibilities
  1. Answering the telephone, transferring calls, and taking accurate messages.
  2. Recording customer requests and providing information on available facilities.
  3. Greeting customers in a pleasant manner and giving information about the facility.
  4. Ensuring a neat, clean, and tidy front desk atmosphere.
  5. Ensuring all facilities in the main reception area are in working condition and making necessary arrangements for any required maintenance.
  6. Performing administrative and clerical duties, such as opening and distributing mail, filing, data entry, and preparation of necessary documents.
  7. Providing special care to VIP guests and ensuring they have the best experience with the facilities.
  8. Providing customers with product and service information.
  9. Identifying and escalating priority issues.
  10. Routing calls to the appropriate resource.
  11. Following up on customer calls where necessary.
  12. Coordinating with the QHSE Department for site-related QHSE issues.
  13. Assisting the site/departmental manager in executing the project/site day-to-day QHSE requirements.
  14. Providing assistance in the implementation of the QHSE management system to achieve organizational goals.
  15. Coordinating with other departments for QHSE resources necessary for the workgroup.
  16. Assisting the site/departmental manager in taking corrective actions upon identification of non-conformance.
  17. Reporting all near misses, dangerous occurrences, and incidents.
  18. Assisting the team in preparing incident reports.
  19. Assisting the site/departmental manager in assessing and executing QHSE training requirements.
  20. Participating in the site QHSE meeting.
  21. Participating in the site-level hazard identification and risk assessment team.
  22. Ensuring all workers under management are aware of internal QHSE alerts.
Authority
  1. Using site/department resources under the guidance of the Site Manager.
  2. Participating in internal meetings as required.
  3. Accessing site/department files and maintaining documents and records.
  4. Coordinating with QHSE and other departments on QHSE issues.
  5. Stopping any unsafe activity.
  6. Undertaking support services to correct unsafe conditions at the site/department level.
  7. Escalating safety concerns to management.
Accountability
  1. Maintenance of files, documents, and records of site operations.
  2. Following company QHSE regulations.
  3. Data collection and document maintenance.
  4. Reporting incidents.
