Job Summary:

The Medical Receptionist is responsible for providing excellent customer service and administrative support in a medical or healthcare setting.

The receptionist is the first point of contact for patients, visitors, and staff and plays a critical role in creating a positive and welcoming environment.

Duties may include scheduling appointments, managing patient records, handling phone calls, managing patient inquiries, coordinating with healthcare providers, and performing various administrative tasks.


Key Responsibilities:

  • Greet patients and visitors in a friendly and professional manner, ensuring a positive experience and providing excellent customer service.
  • Schedule appointments for patients and coordinate with healthcare providers to manage their calendars.
  • Register patients and verify their information, including insurance coverage, to ensure accuracy and completeness.
  • Manage patient records, including updating personal and medical information, scanning and filing documents, and ensuring compliance with privacy regulations.
  • Answer phone calls, triage inquiries, and route calls to appropriate personnel as needed.
  • Provide information to patients and visitors regarding clinic services, policies, and procedures.
  • Collect and process payments for services rendered, including copays, deductibles, and outstanding balances.
  • Maintain cleanliness and organization of the front desk area and waiting room.
  • Coordinate with other clinic staff to ensure smooth patient flow and efficient operations.
  • Handle patient inquiries and complaints in a professional and empathetic manner, resolving issues or escalating as appropriate.
  • Perform various administrative tasks, such as ordering supplies, managing office equipment, and completing reports or forms as needed.

Requirements:

Qualifications:

  • High school diploma or equivalent, with additional education or training in medical office administration or related field preferred.
  • Previous experience as a medical receptionist or in a similar customer service role, preferably in a healthcare setting.
  • Knowledge of medical terminology, insurance verification, and HIPAA regulations.
  • Proficient in using computer systems, electronic health records (EHR), and scheduling software.
  • Strong communication skills, both written and verbal, with the ability to communicate effectively with patients, staff, and healthcare providers.
  • Excellent customer service skills, with a friendly and professional demeanor.
  • Ability to multitask, prioritize, and work in a fastpaced environment.
  • Attention to detail and accuracy in managing patient records and information.
  • Ability to maintain confidentiality and handle sensitive information in compliance with privacy regulations.
  • Strong organizational and time management skills.
  • Ability to work independently as well as part of a team.
  • Flexibility to work varying shifts, including evenings and weekends, as needed.
