  • Organize and coordinate day-to-day schedules, including appointments, meetings, and submissions.
  • Attend to the needs of the direct manager and the entire department staff.
  • Manage communication channels and respond to correspondence appropriately.
  • Prepare and send letters to external resources and internal departments, and follow up on replies and correspondences.
  • Prepare and manage tender submission documents, ensuring timely and accurate communication with relevant departments to obtain necessary information.
  • Receive, review, file, maintain, and distribute related documents, ensuring they are regularly updated and easily accessible.
  • Handle and distribute incoming and outgoing mail.
  • Handle confidential information with discretion and professionalism.
  • Communicate effectively with other departments and external entities.
  • Provide general administrative support, including taking phone calls, handling inquiries, and managing the office calendar.
  • Perform special tasks and duties as assigned.

Requirements:

  • Proven experience as a Secretary, Document Controller, or in a similar role within the construction industry.
  • Proficient in Microsoft Office Suite.
  • Exceptional organizational and time-management skills to manage multiple tasks efficiently.
  • Strong communication and interpersonal skills to work collaboratively with team members.
  • Excellent written and verbal communication skills.
  • Ability to maintain a professional demeanor under pressure and handle confidential information.
  • Familiarity with tendering processes and documentation in the construction industry is highly desirable.

Preferred Skills:

  • Knowledge of construction industry standards and terminology.
  • Experience with document management systems and software.
  • Attention to detail and accuracy in document preparation and management.
