Job Purpose:


The primary focus of the position is to provide sales & marketing administrative support to the sales & marketing team whilst maintaining a positive professional image to all external and internal customers of Vindico.

There are no direct responsibilities for selling.

The responsibilities do include contributing to good client relationships that ultimately enables the sales team to spend more time selling.


Primary Objectives:

1.
Responsible for supporting the Director of Sales & Marketing in all sales related functions whilst maintaining the professional image of the business
1.1 Maintaining Sales Director's diary and scheduling of meeting for Sales team members.

1.3 Schedules, plans and coordinates events and meeting onsite and offsite, including research and preparation of meeting materials.


1.4 Coordinate business travel and stay arrangements including meeting logistics like location and rates for the Sales Director and sales team.

1.5 Record and distribute minutes of meetings with clients and stakeholders to the relevant team members. Assists in preparing agendas and presentations if required.

Provides administrative support for all sales proposals including but not limited to RFP's, RFI's, RFQ's
2.1 Understands the sales process and is able to update and maintain all sales reporting as communicated by the Director

2.2 Create and regularly update the opportunity tracker and summarize the opportunity details to help in generating any report analysis

2.3 Prepare the response document as per the opportunity instructions

2.4 Assess all urgent responses as required by the opportunity (RFP) and respond accordingly.

2.5 Preparing of proposals & filing of all related source material including the final response.

2.6 Create and maintain the RFP "library" as per the document control standards of the business.


2.7 Communicate with all internal departments - Talent, Product, Finance and any other department for relevant information required to support the Sales team.

Maintain and cultivate all stakeholder relationships in a professional manner.
3.1 Verify client details periodically and provide accurate and timely information to all stakeholders

3.2 Ensure that all inquiries are actioned and responded to within one working day

3.3 Update the CRM system and maintain accurate and clean data.

Salary:
AED4, AED6,000.00 per month

Ability to commute/relocate:

  • Dubai: Reliably commute or planning to relocate before starting work (required)

Experience:

  • RFP, RFI, Tenders, Proposals: 4 years (required)
  • Canva: 2 years (preferred)
