HR & ADMIN

Ø Building team for the business expansion and hiring best talent for the companyØ Manage overall HR operations for group companies from Dubai officeØ Monthly progress reports for the employees / sales agentsØ Corrective action reports in case of staff non-performance or incompetency Ø Co –ordinate with Supplier or vendor whenever required

Operations

Ø Assisting agents in the creation of Contract A, Contract B, Contract F, Form I, and Listing Form documents.Ø Facilitating the generation of new property listings and ensuring their compliance with portal requirements prior to publication across all platforms.Ø Coordinating with agents to collect necessary documents and details for listing verification.Ø Submitting documentation for listing verification and liaising with the Dubai Land Department to address any property documentation issues on behalf of agents.Ø Managing the activation and deactivation of call tracking for both new and existing agents through portal interfaces.Ø Handling the renewal process for property portal subscriptions and Trakhessi permit numbers.Ø Verifying new RERA agents on portals and coordinating with the marketing team to onboard or deactivate users in the Odoo CRM system.Ø Maintaining and updating on daily basis the deals closed by agents , following up with the agents for required and commission release with the accounts departmentØ Formatting and assigning data requirements to agents upon approval from the reporting manager.Ø Compiling weekly and monthly portal reports for review by the sales director.Ø Preparing weekly and monthly lead generation, deals closed report for the management.Ø Sending briefing materials and meeting reminders to the sales director as needed.Ø Providing training to new agents on listing creation using the Odoo CRM platform.Ø Coordinating photoshoots for agents as necessary.Ø Serving as a liaison between managers and staff members.Ø Drafting letters for agents as required.Ø Performing additional administrative tasks as requested by management.Ø Co-ordinate with the PRO for employee visa , company license renewal , other company or employee related mattersØ Assist with Health Insurance , Vehicle Insurance , Staff health insurance new enrolment , renewal , changes , cancellation etc Ø Co-ordinate with developers for New contracts , renewal contract , registration , product training , NOC for marketing, commission payments etcØ Co-ordinate with developers for marketing, organizing road shows, participating in trade fairs and funds contribution from developers.Ø Make sure agreements with the DED for the company formation is updated and renewed on time.Ø Effective coordination with different departments and update management about the day to day operations within company.Ø Thorough knowledge of company CRM and its functions, limitations , reporting , updations, training, API's, etc

Finance

Ø Coordinate with accounts team and make sure all the monthly utilities invoices are paid on time Ø Office rental renewal , payment has been done time to time Ø VAT report filling should be done time to time Ø Accounting and book keeping is maintained time to time Ø Organize compile and update monthly, yearly data for staff, developers and revenue generated by each department and companies. Other duties assigned by the management on time to time basis.Roles & Responsibilities :
