The Class YearExperiences Coordinator is a member of Student Affairs reporting tothe Class Year Manager role. The position primarily supports theSenior Year and First Year Experience programs. The position isresponsible for event programming and logistical support forMarhaba First Year Dialogue/Weyak Program Maa salama and somecommencement activities along with other class year programming. Inaddition to providing administrative support the person in thisposition will support the program development and execution ofseveral first year programs throughout the firstyear as well asconcluding senior year activities. This position coordinates thehiring and supports the supervision for 40 student leaders infirstyear programming and also works closely with the Class YearCommittees in the student government.
The role maintainsthe tracking budget and expenses for multiple budget chartfieldsand will also be responsible for gathering data for reportingpurposes which will include preparing reports for both internal andexternal stakeholders. This person will additionally support otherdivisional functional areas including student activities.
Key Responsibilities:
LogisticalSupport
  • Coordinationof mass email for the First & Senior year classes.Maintains a comprehensive calendar with first and senior yearcommunications with information pertaining to the scope ofcommunication communication draft concerned parties and audience tocentralize synthesize and streamline the communications
  • Drafts institutional onboarding and offboardingcommunications to firstyear/senioryear students and coordinates thereview and editing process with multiple stakeholders
  • Coordinates logistics for Marhaba Maa Salama First YearDialogue and other student initiatives
  • Collaborate with Student Life & Student Affairs staff andliaise with external vendors as needed
  • Coordinates onboarding of (e.g printing of 500 firstyear studentIDs and SIM cards) in collaboration with Public Safety andIT
  • Maintains firstyear student records andmanages firstyear parents and student lists for externalmailings
  • Advising and meeting regularly withClass Year Representatives and their committees
Program Administration
  • Develops and maintains theschedule and guidelines for Marhaba and Maa salama
  • Works closely with Student Success and the StudentAffairs Deans in advising firstyear students on educational matterssuch as course and program selection timetables and schedulinguniversity adjustment and study skills. And advising firstyearstudents at risk of dropping out to aid their academic andnonacademic to ensure firstyear retention
  • Coordinates recruitment and supervision support for 40 FYD andMarhaba leaders
  • Liaise and collaborate withmultiple stakeholders across the University (e.g. Events ViceChancellors Office Campus Life Public Affairs Office forUndergraduate Academic Development Academic Affairs Arts Center ITLibrary etc.) to develop and coordinate the orientation week forthe incoming class
  • Coordinates with the ArtsCenter Marhaba sessions with panels and guest speakers as well asstudent
    leaders performances
  • Liaiseand collaborate with multiple stakeholders across the University todevelop and coordinate the celebration week for the graduatingclass
  • Create website and student portalcontent that will be most relevant to first and senior yearstudents and ensure it is updated regularly in preparation foronboarding
  • Monitors and responds to queriesfor multiple aliases. Responds to firstyear student and parentinquiries regarding onboarding. Responds to senior student andparent inquiries regarding Maassalama and Commencement
  • Collaborate with other departments to host programmingfor firstyear and upperclass students
  • Supports other divisional functional areas including campus pulseidentity interest group support and student spaceactivation
BusinessAdministration
  • Tracksexpenses and manages payment processes for first/senior yearprograms and other student activities throughout the academicyear
  • Supports SIG office hours and additionaladministrative tasks including functions for petty cashdisbursement
  • Budget tracking compare invoiceswith actual expenditures and resolve discrepancies with the budgetoffice. Maintain expense and reimbursement records
  • Assessment
Other Divisional Duties
  • Serves on the emergency oncall rotation. Must residewithin a 10minute response time from NYUAD campus

Qualifications: Required Education:
  • Bachelors Degree in a relatedfield
RequiredExperience:
  • Criticalthinking & problemsolving skills planning &organizing conflict management exceptional communication skillsknowledge of project management and business analysis techniques& tools
  • Strong knowledge of datadevelopment processes including integration design and datamodeling
  • Proven ability to perform dataanalysis and synthesis
  • Excellentdocumentation capabilities (effective note taking detailedrequirements documents articulate process flows meaningfulpresentations etc.)
  • Ability to manage andcommunicate with a diverse set of stakeholders in both technicaland nontechnical environments
  • Effectivelyusing interpersonal and communications skills including tact anddiplomacy
  • Effectively using organizationaland planning skills with attention to detail and followthrough
  • Effectively multitask as well asmanage lead and delegate tasks and authority whereneeded
  • Maintaining confidentiality ofworkrelated information materials and staff/student sensitivedata
  • Strong leadership capability executingas appropriate in the areas of responsibility
  • Excellent oral and written communication skills including theability to explain technology solutions in business terms establishrapport and persuade others
