Quality Administrator

To review and provide a comprehensiveadministration support required for coordinating department sectionfunctions and ensuring the smooth day to day operation of thedepartment. This role is typically focussed on the update andmaintenance of administration databases and/or systems. Interactionwith contacts within other departments is routine and usuallyuncomplicated. The use of a computer and applications is at a moreadvanced level and somewhatfrequent.

- Ensureadministrative work undertaken complies with quality standards andis in accordance with department procedures, standards andpolicy.
- Support the coordination ofadministration material, requests, mail and equipment on a dailybasis and as required for department related activities andcorporate events.
- Provide a comprehensive adminsystems support service including data entry, maintenance, updateand support of relevant databases and in house equipment. Recordtransactional data in appropriate systems and produce reports asrequired .Collate, analyse, archive and retrieve data / informationwhen necessary.
- Handle customer/employeerequests, actioning transactions and queries in a timely manner andactively seek feedback to provide a high level of service withadmin related queries. Obtain and disseminate information fromrelevant sections if not available.
- Completetimely and accurate processing of transactions, including audit,checking and necessary reconciliation for settlement of billspertaining to corporate expenses and charges, as well as issuingrelevant documentation.
- Provide comprehensivesupport in maintaining, issuing and tracking supplies, basicfixtures, fittings, and facilities utilisation to ensure safeoperation where applicable.

- Conduct briefings andinductions/training as required for new joiners across grades1-4.
- Compile induction material and equipmentrequired (as well as maintenance) forbriefings/training.
- Make suggestions forimprovements and provide statistical and/or productivityanalysis.
- Allocate tasks for staff and updatestaff /team on new procedure/processes
- SpecificJob Accountabilities: EFTA
- Conduct renewal ofairside passes required for EFTA maintenance staff and visitors,and material passes as required.
- Assist in themanagement and maintenance of EFTA databases and tracking systemsused within the maintenance department.
- Trackand record changes to technical data used within EFTA maintenancedepartment and distribute to interested parties as required.Control the content of the technical library and aircraft recordsstorage.

- Initial point of contact for allvisitors to Flight Training premises, responding in a courteous andtimely manner in line with departmentalstandards.
- Ensure Flight Training facilitiesare maintained to the required standard as reported via theelectronic feedback systems or email notifications. If requiredcoordinate with the relevant teams or external vendors to resolvereported issues within the approved expectedtimelines.
- Accurately issueletters/certificates, maintain e-filing in specific systems asdirected and required.

- Conducts abiannual review of access to the Cabin Crew Portal and CrewPulse.
- Timely administration and publishing ofKiS, Portal and Pulse content as per the SLA and KPPGovernance.
- Updating Cabin Crew leaveassignment on the internal systems in line with departmentalguidelines and approvals.
- Supporting andresponding on any leave related queries from different stakeholderssuch as Cabin Crew Management, Crew Connect, Network Operations andHR
- Supporting regular Cabin Crew leave trainingsessions virtually and in person.

- Filing of new insurance contracts andclaims and handling of insurance claims under the direction ofclaims team colleagues.
- Administration supportto the department including organising meeting, schedules/timingand maintenance of office supplies and other ad hoc tasks asadvised by the Managers Insurance.
- Review ofold files and move them to InfoFort.

- Handling& processing Marhaba refunds credit card & cashfrom call centre, operations, corporate clients, visa servicesteam, ocean, SFCC and all CPG bookings.

- Reconcile the booking summary reportsent by suppliers
- Raise request and or issuead-hoc invoices, such as transaction fees, setup fees, andactivation fees
- Keep a record of securitydeposits provided to suppliers/Customers, reconcile and verifyinvoices to be processed
- Identify pricingmismatches and investigate the cause of those differences in orderto avoid continuous discrepancies
- Tracksupplier payment ageing reports and escalate whererequired
- Manage the supplier profiles insalesforce, including keeping financial records such as securitydeposits
