Personal Assistant to Chief Executive Officer

Job Summary:
We are looking for an experienced Personal Assistant who will be a key enabler of the CEO's efficiency and impact, ensuring her time and priorities are optimized. This role combines high-level administrative support with project management, media coordination, and personal assistance. The ideal candidate is proactive, highly organized, and possesses the business acumen to manage professional and personal projects in a fast-paced, high-growth environment.
Key Responsibilities:
Executive Support- Manage the CEO's complex calendar, scheduling high-priority meetings, board sessions, and personal appointments.
- Organize travel and logistics for business and personal trips, ensuring seamless execution.
- Prepare reports, presentations, and materials for board meetings and strategic reviews.
- Coordinate with PR and marketing teams to schedule and prepare for interviews, press events, and speaking engagements.
- Ensure the CEO is media-ready by preparing briefing documents, talking points, and key messages.
- Handle logistics and communication for public appearances and events.
- Assist with professional and personal projects, ensuring timely execution and alignment with priorities.
- Monitor progress on initiatives, follow up on deadlines, and prepare regular updates for the CEO.
- Provide hands-on support with personal tasks, event planning, and household management as needed.
- Act as the CEO's trusted gatekeeper, managing internal and external communications with efficiency and professionalism.
- Draft emails, presentations, and correspondence on behalf of the CEO.
- Build strong relationships with internal teams, board members, and external stakeholders.
- Streamline workflows, identify process improvements, and optimize the CEO's daily operations.
- Anticipate needs and proactively resolve challenges before they arise.
Qualifications:
- 5+ years as a Personal Assistant, Executive Assistant, or Project Manager in a high-growth or entrepreneurial environment.
- Experience with PR/media coordination and managing executive-level stakeholders is a strong advantage.
- Bachelor's degree in Business, Communications, or a related field.
Key Skills:
- Exceptional organizational and multitasking abilities with attention to detail.
- Strong written and verbal communication skills in English (Arabic is a plus).
- Proficiency in Microsoft Office and project management tools.
- Ability to manage sensitive information with discretion.
- Business-savvy, resourceful, and solutions-oriented.
- Proactive and confident in managing dynamic priorities.
- Professional, adaptable, and emotionally intelligent.
